Forgot to register my car at the gym car park: who helps?

Summary

If you forgot to register your car at a gym car park, any parking charge that follows is a private invoice from the parking operator, not a council fine. Being a genuine customer is your best point. Ask the gym now to confirm your membership and visit dates, and to ask the operator to cancel or not issue charges. If a notice arrives, appeal to the operator within the time on the notice, attach the gym's confirmation, and use POPLA or the IAS if the operator says no. Do not ignore letters.

Key information

  • Private charge: a parking charge notice from a private operator is not a criminal fine. Council PCNs follow a different route.
  • Genuine customer: operators and venues often cancel when the venue confirms you were a paying customer. Gym entry records are strong proof.
  • Many visits: you may get a separate notice for each visit. Ask the gym to send the operator a list of your visits in one go.
  • Address: operators get keeper details from the DVLA. Keep the address on your V5C up to date, especially if you move often, so you do not miss deadlines.
  • Appeal window: appeal within the time on the notice, often 28 days. Appealing early can keep a discounted amount open if your appeal fails.
  • Do not pay first if you want to dispute: paying usually ends the appeal.
  • Debt collector letters are not court action. A court claim form must be answered by its deadline.
  • The gym can: confirm your membership and visit dates in writing; ask the parking operator to cancel charges or add your car to its allowed list. They will not cancel charges themselves. The operator decides.
  • The parking operator can: consider an appeal with your gym confirmation and decide whether to cancel; give you a code for the independent appeals service if it rejects your appeal. They will not usually cancel without evidence you were a customer.
  • POPLA or the IAS can: review the operator's decision independently: POPLA for British Parking Association members, the IAS for International Parking Community members. They will not take an appeal before the operator has rejected yours, or hear council PCN appeals.
  • Citizens Advice can: explain your options using parking tickets and appealing a parking ticket. They will not write the appeal or contact the operator for you.

Practical guidance

  • Email the gym today: ask for written confirmation of your membership and visit dates, and ask them to contact the parking operator.
  • Register your car at reception on every visit from now on.
  • Check the address on your V5C is current.
  • If a notice arrives, appeal to the operator within the deadline. Attach the gym's confirmation and your membership details.
  • If rejected, appeal to POPLA or the IAS using the code in the rejection letter.
  • If chased by debt collectors, see stop being chased for a parking ticket.
  • Ask the Shaman to order the steps for your case.
